Accounting Assistant - Part-Time

PT Accounting Assistant-Focused on Fuel & Retail Support (approx. 20-25 hours/week)
Are you a highly accurate, detail-oriented individual looking for flexible part-time hours? We’re hiring a Part-Time Accounting Assistant to manage the daily financial reconciliation for our convenience store (C-Store), Service Center, and fuel delivery operations.

Responsibilities:

  • Daily Reconciliation: Accurately process and balance daily sales batches from all operating systems, including C-Store, Fuel Delivery, and Service Tickets.
  • Prepare daily deposits and maintain cash drawer levels.
  • Inventory & Fuel Tracking: Record all fuel deliveries (Bills of Lading – BOLs), manage C-Store tank readings, and handle inventory entry.
  • Reporting: Generate and distribute sales reports to management for timely review.
  • Gas Card Management: Handle ordering, maintenance, and entry for our Cardtrol gas card program.

Qualifications:

  • 1-3 years in bookkeeping or data entry.
  • General computer and math literacy.
  • Familiarity with accounting/ERP Software. 
  • Ability to quickly learn industry software (Triple E, TireMaster, etc.)
  • Organizational skills and high attention to detail.

Feed Administrator

Join our team! We are looking for a detail-oriented Feed Administrator to manage all aspects of feed order entry, billing, and regulatory compliance.

Summary of Position

The Feed Administrator is responsible for ensuring accurate and timely processing of all customer feed orders, billing, and meticulous record-keeping, supporting both customers and the feed mill operations.

Key Responsibilities Include:

  • Order Management & Billing: Taking customer orders, entering/editing feed deliveries, and processing billing.

  • Compliance: Ensuring all Food Safety (FSMA) and Veterinary Feed Directives (VFD) requirements are met and documented.

  • Support: Communicating daily with mill supervisors, troubleshooting for truck drivers, and assisting with general office and counter duties (answering phones, scale operations).

  • Data Entry: Operating feed production software to record, store, and analyze production information.

Qualifications:

  • High school diploma/GED or equivalent experience.

  • Strong organizational skills and exceptional attention to detail.

  • Excellent customer service and communication skills.

  • Ability to learn and comply with industry regulations (FDA, OSHA, state/federal).

Service Coordinator

Are you highly organized and customer-focused? We are seeking a Service Coordinator to be the operational center of our shop, managing vehicle service scheduling, work order administration, and customer communications.

Summary of Position

The Service Coordinator is responsible for scheduling all vehicle repairs and maintenance, managing parts order entry, and maintaining all related work orders and documentation from initiation to customer billing and vehicle release.

Key Responsibilities Include:

  • Work Flow Management: Initiating, assigning, and closing all shop work orders, scheduling technician workload, and assuring daily work order status is current.

  • Customer Interaction: Handling all incoming scheduling calls, creating service estimates, obtaining customer work permissions, and promptly notifying customers when repairs are complete.

  • Administration & Finance: Customer billing, processing warranty claims, managing core reports, assisting with the annual physical inventory, and maintaining essential work order documentation.

  • Quality Control: Reviewing completed jobs with the Shop Manager to ensure quality and reviewing daily technician hours.

Qualifications:

  • Minimum: High School Diploma/GED or equivalent experience.

  • Preferred: Two years of experience in a technical, administrative, or comparable position.

  • Demonstrated ability to coordinate multiple tasks, manage workflow, and direct others.

  • Exceptional customer service, communication, and organizational skills.

  • Strong attention to detail, math skills, and computer proficiency.

Accountant

We are seeking a proactive and detail-oriented  Accountant to support the financial operations of our Co-op. This role provides comprehensive accounting support and serves as a vital backup to the Controller.

Summary of Position

The Staff Accountant assists the Controller in all core accounting functions, including financial statement preparation, general ledger management, accounts payable/receivable, taxes, and specialized grain transactions.

Key Responsibilities Include:

  • Core Accounting: Assisting with monthly P&L, G/L, journal entries, A/P, A/R, and preparing monthly financial statements and reports for banks/insurance providers.

  • Tax & Compliance: Preparing and filing all monthly and periodic sales, use, excise, corn/soybean check-off, and State of Iowa grain reports.

  • Payroll & Billing: Processing bi-weekly payroll, preparing monthly customer statements, and assisting customers with billing inquiries.

  • Grain/Commodity: Processing grain settlements, maintaining the grain position book, and executing buy/sell/hedge grain transactions.

Qualifications:

  • Bachelor’s degree or Associate’s degree with an accounting background, or equivalent experience.

  • Excellent attention to accuracy and detail.

  • Proven ability to manage multiple tasks and prioritize workflow efficiently.

  • Strong communication and proficiency in Microsoft Office.
